Browsing this website

The marketing pages serve their own fonts, images and optional video. They contain no analytics collector, contact form, marketing cookie or browser-storage tracking. The video loads only when you choose to play it. Ordinary page navigation does not start a map, travel calculation, Street View, sign-in or AI session.

That does not mean an internet request contains no personal data. The hosting service receives connection and request information; its logging, purpose and retention must be described in the reviewed hosting notice below.

Email and service links

An email link opens your mail application. Nothing is sent until you choose to send it. The operator's mailbox then receives the information you include. Sign-in and configured customer experiences use their own service context and notices; this website does not authenticate you or activate agency reporting.

Website delivery and technical records

DigitalOcean hosts this website on a server in London, United Kingdom. The server receives your IP address and connection/request information to deliver pages, diagnose failures and protect the service. Routine access logging is disabled for overa.earth. Error and system records can still contain technical information; this is not a promise that no logs exist. The marketing pages use no analytics collector, contact form, marketing cookies or browser-storage tracking.

Contact and access enquiries

Email links open your mail application and send nothing automatically. Messages to here@overa.earth are handled by Jason Dupley for Overa through Google Workspace. We use the contact details, message and relevant attachments you provide to respond to enquiries, arrange access, provide support and administer our business. Jason may use an authorised AI assistant to review, organise and prepare responses. Relevant correspondence may therefore be processed by OpenAI/Codex for that assistance. Jason oversees handling and remains the mailbox operator when assistant access is unavailable; scheduled assistance is not a response-time guarantee. No mailing-list use or automatic external forwarding is configured. Please do not send passwords, API keys, unnecessary sensitive information, personal buyer details or private property exports.

Why the operator uses personal data

We use technical information for our legitimate interests in delivering, securing and troubleshooting the website. We use ordinary business correspondence, including proportionate authorised AI assistance under Jason's oversight, for our legitimate interests in answering requested enquiries, providing support and administering the business. Where you personally ask to enter an agreement, necessary pre-contract steps or performance of that agreement may instead be the basis. We retain necessary accounting and other records where an applicable legal obligation requires it. We use only relevant information and do not use correspondence for marketing lists, profiling or automated decisions with legal or similarly significant effects.

Recipients and international transfers

DigitalOcean provides hosting, Google Workspace provides email, and OpenAI/Codex provides authorised AI assistance, with the subprocessors applicable to each service. Relevant correspondence used for assistance is sent to the AI service for processing; local assistant records may also be retained. We may disclose information where legally required or necessary to establish or defend a legal claim. The website server is in London, but email, AI processing, provider support and subprocessors may operate outside the UK. Applicable account terms and transfer arrangements govern this processing; we do not promise UK-only processing, an account-specific training opt-out or a business data-processing agreement that has not been verified. Ask here@overa.earth about the applicable safeguards. Activated customer services have their own processing arrangements and notices.

How long information is kept

We review correspondence monthly and remove it when no longer needed. Routine enquiries and access requests normally have a maximum of twelve months after the last meaningful contact; spam or automated notifications do not restart that period. Ordinary customer/support records are kept while needed for the active relationship and normally up to twelve months afterwards. Necessary accounting/tax records are classified separately: the current individual operator's usual minimum is five years after the relevant tax year's 31 January filing deadline, with longer periods where late returns or an open enquiry require them. Necessary contract, complaint, dispute, legal-hold and other mandatory evidence follows its documented purpose and applicable period, with periodic review. Unnecessary sensitive attachments, spam and duplicates may be removed earlier when safe and required evidence remains available. This is a reviewed operating rule, not an enabled blanket age-based Gmail deletion setting. Recoverable trash is not completed erasure. Existing Nginx error logs rotate daily when eligible and retain fourteen compressed archives, not a guaranteed fourteen-calendar-day limit. System journals have a fourteen-day age limit and 100 MB size cap. Provider backup, security and legally retained copies follow their applicable disposal rules; immediate erasure is not promised.

Your rights and complaints

Contact here@overa.earth or write to the operator address on this page to request access, correction, deletion or restriction of your personal information, or to object to use based on legitimate interests. Data portability applies where the relevant legal conditions are met. Rights depend on the circumstances; we may need proportionate information to verify your identity. You can raise a complaint with the UK Information Commissioner's Office at ico.org.uk/make-a-complaint/. Contacting us first can help resolve a concern, but is not a condition of your right to complain.
